The Kuwait British Business Centre (KBBC) has a vacancy for a:

Office Administrator

Reporting to the KBBC Director Of Operations, the Office Administrator, will be a supportive, and crucial part of successful KBBC operations.  You will develop, with support from management all of KBBC’s monitoring and performance data, both financial and as it relates to the delivery of KBBC services. You will update and maintain the KBBC’s CRM database and use it to produce accurate reports and statistics. You will take responsibility for the implementation of a clear and easy to follow system for recording financial and company data and recording the KBBC’s specific interaction with the businesses concerned.  You will innovate the systems to allow continual improvement and will look at ways that the data collected can improve the organisation as a whole.  You will operate within acceptable Data Protection guidelines and you will feel comfortable presenting the reports produced from your work and will be able to defend challenges to the validity of the information and the process by which it was developed. 

In addition you will be a crucial member of KBBC, supporting, encouraging and making things easier for all its stakeholders.  You will monitor and manage the KBBC website and social media channels with the support of the General Manager.  Arranging transport, travel, meetings and coordinating the requirements of the office and that of the “Business Centre” from pens and paper through to phone lines, organizing IT support, arranging routine maintenance and maintaining a professional atmosphere. You will manage the administration process of the KBBC’s finances and record all transactions.

You will possess substantial knowledge of the business environment both in Kuwait and the UK and be able to build a wide business network in order to facilitate and deliver bilateral trade.

This is a full time position with a starting salary in the range of 600 to 700 KD per month dependent on skills and experience.  Office hours are 09:00 to 17:00 Sunday to Thursday. In addition there will be a regular requirement to attend evening functions and support KBBC evening events. There may be a requirement for travel within the region and to the UK.  Other benefits include private health insurance and generous annual leave entitlement.

You must have transferable residency under Article 18 with at least 6 months validity.

Job Description

The main roles and responsibilities for this job are:

•   Development and delivery of all of the KBBC’s monitoring and information systems.  Providing accurate and consistent reports as and when required. 

•   Managing and making KBBC’s payments, reporting expenditure and meeting the Department for International Trade's standards.

•   Maintaining a professional atmosphere at the KBBC’s office and the KBBC “Business Centre” at all times. Replenishing supplies, ordering materials and arranging maintenance as and when required.

•   Working with the Department for International Trade’s Kuwait team and the Dubai marketing hub to bring the GREAT Campaign alive in the Business Centre and at KBBC events.

•   Organising market research and visits for UK companies looking to export to Kuwait.

•   Organising events including managing the guest list, booking venue and seeking and recording post event feedback.

•   Responding to enquiries received on the KBBC website and email.

•   Arranging team members travel, transport and providing support in arranging meetings and programmes.

•   Maintaining the KBBC website and social media channels with the support of KBBC Director of Operations.

•   Demonstrating a professional outlook and being an “Ambassador” for the KBBC

 

Skills and Experience Required

The successful candidate will be confident in their ability to develop and deliver a system that provides relevant and accurate management of information to the organisation.  You will have a broad knowledge of the trade environment and use it to support UK companies with their queries about business opportunities In Kuwait

You will feel comfortable working with figures, interrogating data and using that data to provide management reports and illustrate trends or develop targets.  You should be proactive with a desire to deliver results and be prepared to work with constructive feedback where it is provided to enhance and develop your work.  Equally you should be able to defend your approach and findings if you feel you need to. You will often be the first point of contact at the KBBC and therefore require excellent communication skills and professional mannerism.  You will be able to work quickly, accurately and to manage your own workload. You will be resilient, demonstrate a flexible approach and have the ability to work closely with other staff members in a small team.

Previous experience of working within an office environment and advanced IT skills are essential, particularly Excel.  Ideally, the successful candidate will have excellent written and oral communication skills in English.  Arabic would be desirable.

KBBC is a small business and transitting from start up to being a British Chamber accredited, self-sustainable organisation.  Flexibility is very important. You could be supporting a trade mission programme for a group of high profile companies one day and fixing the office printer the next.  A collaborative, team ethos is vital.

About the KBBC

The KBBC has been established under the Overseas Business Network Initiative led by the Department for International Trade.  The KBBC offer services to facilitate market entry for UK exporters to Kuwait.  Market promotion activity will offer a vital part of the overall service to customers, allowing British companies to participate in a wide range of events and activities, from webinars to trade missions and from providing online business opportunities through to delivering individual market visits for visiting British business.  The KBBC will also offer a “Business Centre” allowing UK companies the chance to use a fully serviced office from 1 day through to 1 year.  KBBC will make investor applications for UK companies considering FDI through the Kuwait Direct Investment Promotion Authority. We will maintain a list of accredited Kuwaiti partners that can support UK companies development. Working closely with the Department For International Trade, Kuwait and with the British Embassy the goal is to support their work, while moving towards financial independence by 2019.
